About The Role:
We are looking for a proactive and organized Talent Acquisition Administrator to manage and support end-to-end recruitment for both internal hires and external contractors globally. This is a dynamic role that will contribute to building our internal teams as well as sourcing and onboarding freelance professionals for event-based deployments.
The ideal candidate will be driven, adaptable, and capable of managing high-volume recruitment across various time zones. This is a great opportunity for someone looking to grow quickly within a global company offering a niche and fast-paced service.
This role will suit someone who is outgoing and able to manage a very busy workload, multi-task and work flawlessly under pressure.
Responsibilities:
- Manage full-cycle recruitment for both internal full-time roles and external contractors across multiple time zones and regions.
- Collaborate with the Operations and Events Delivery teams to develop pipelines of current and future talent, including anticipated role expansions and evolving business needs.
- Collaborate with department managers to understand hiring needs and role requirements.
- Draft and post job advertisements on appropriate channels and platforms.
- Source, screen, and assess candidates for both technical and cultural fit.
- Conduct pre-employment background and reference checks as required.
- Deliver a professional, timely, and engaging candidate experience throughout every stage of the hiring process.
- Ensure all onboarding documentation, contracts, and regional compliance requirements are completed accurately and on time.
- Stay current with labour laws, contractor regulations, and employment practices across different countries to ensure legal compliance.
- Coordinate deployment timelines and availability with project/event schedules.
- Promote One World Rental as an employer of choice for both full-time and freelance opportunities.
- Maintain accurate and organized records, including interview notes, contracts, compliance documentation, and background checks.
- Regularly report on key recruitment metrics such as time-to-hire, source effectiveness, pipeline health, and contractor deployment success.
- Interviewing and onboarding of freelance contractors on our Staffing portal.
- Ensure documentation, contracts, and compliance requirements are completed.
- Coordinate timelines to ensure technicians are deployed and ready for events.
Requirements:
- 2+ years of experience in talent acquisition, recruiting coordination, or a similar role – ideally in tech, staffing, or events.
- Proven track record of delivering a positive and engaging candidate experience across diverse roles and markets.
- Strong organizational and multitasking skills, with attention to detail.
- Excellent communication and interpersonal skills.
- Familiarity with staffing tools, CRMs, or ATS systems.
- Ability to work independently in a fast-paced, remote environment.
- Flexible to accommodate global time zones.
- Knowledge of labor laws in various regions (is a huge plus)

Position Summary

- Collaborate with departmental heads/hiring managers to understand staffing requirements and create detailed job descriptions and specifications.
- Conduct regular market analysis to stay informed about industry trends, salary benchmarks, and competitive hiring practices.
Recruitment Process Management (40%)
- Manage the full-cycle recruitment process, including job posting, sourcing, screening, interviewing, and selection.
- Utilize various sourcing methods such as job boards, social media, networking, and employee referrals to attract a diverse pool of candidates.
- Conduct initial phone screens and interviews to assess candidates' qualifications, experience, and cultural add for KRN.
- Coordinate and schedule interviews with hiring managers and interview panels, ensuring a smooth and efficient process.
- Ensure a positive candidate experience by providing timely feedback and maintaining clear communication throughout the recruitment process.
- Negotiate job offers and compensation packages within the approved budget, ensuring alignment with company policies and market standards.
- Categorize and organize files with a clear structure, using consistent naming conventions for easy access.
- Facilitate a smooth onboarding process for new hires and consistently add value to ensure optimum candidate experience.
- Identify opportunities to automate and streamline the hiring process, implementing technology solutions to make the process more agile and efficient.

- Track and analyze recruitment metrics, such as time-to-fill, cost-per-hire, and candidate satisfaction, to evaluate the effectiveness of recruitment strategies.
- Prepare regular reports and presentations on recruitment activities, progress, and outcomes for senior management, HR Committee and Board.
- Identify areas for improvement and recommend actionable solutions to optimize the recruitment process.
Eligibility
Education & Experience
- Bachelor's/Master's degree in Human Resources, Business Administration, or a related field.
- 2-4 years of specialized experience in talent acquisition or recruitment, with a proven track record of successful hires.
- Demonstrated experience with automating recruitment processes and implementing technology solutions to enhance efficiency will have an added advantage.
