Job Description

Highly Keen - The HR Institute is looking for a Manager of Retail Operations for one of its clients in the Retail Industry situated in GOJRA, Pakistan. The job description of the required candidate is as follows:

  1. Responsible for implementing the policies, procedures, and relevant supporting documents for all sub-domains of the operations department.
  2. Establish proper vendor selection criteria and ensure procurement is made through suppliers who have cleared the company's established vendor selection criteria.
  3. Manage the purchases of all items of Rafiq Centers by giving tasks to Head Purchases after receiving official demands directly from In-charge Retail Operations and after getting a products availability report from the store.
  4. Develop annual purchase budgets and approve the payments for purchases.
  5. Set prices of all purchased items by keeping in view sales targets and by keeping in the loop Head Purchases and In-charge Retail Operations.
  6. Ensure that inventory is managed through a proper Inventory Management System and that proper inventory levels are maintained.
  7. Design floor layouts when required.
  8. Ensure the smooth operations of Retail by establishing proper discipline at all floors of shopping centers, making final decisions regarding visual merchandising, planning and executing seasonal sales promotions, and announcing special discounts on various events after approval from top management.
  9. Analyze sales figures and forecast future sales volumes to maximize profits, then define Monthly Sales targets for all floors and sections, and get feedback from In-Charge Retail Operations regarding sales from time to time.
  10. Take actions according to policy on not achieving the sales targets or vice versa.
  11. In the future, conduct meetings with various brands for franchising and shop-in-shop options and finalize them after approval from top management.
  12. Perform mystery shopping on a monthly basis through outsiders and take steps based on its reports where necessary.
  13. Take actions on audit reports performed by the store and audit department; in case of shortage, investigate the whole situation and take appropriate action against the culprit.
  14. Conduct bi-weekly (Saturday & Tuesday) internal meetings with the divisional In-charges in the Operations department for proper communication and coordination of all staff.
  15. Visit various other shopping centers from time to time in Gojra and other cities to observe good practices and implement the observed practices after customizing according to Rafiq Centre needs.
  16. As a line manager, manage all staff issues of the Operations Department related to hiring/firing, leaves, grievances, disciplinary matters, etc.
  17. Quarterly perform the performance appraisal of immediate staff with the support of the HR Department.
  18. Any other tasks related to Operations assigned by Top Management.

  1. Develop yearly sales plans by keeping in view the target from top management, Sales forecasting and last year’s sales performance.
  2. Achieve monthly sales targets of shopping centers through his team and prepare a report of monthly sales.
  3. Achieve monthly sales targets of Bakeries through his team and prepare a report of monthly sales.
  4. Perform unannounced visits of any one shopping centre or bakery on a daily basis to check the performance of in-charges and his team.
  5. Monitor and guide In-charge Shopping Centre/s and bakeries’ supervisors on their performance in reference to their performance parameters and ensure a smooth operational functionality of all operation’s domains.
  6. Ensure quality customer services at all retail outlets (Shopping centre/s and Bakeries), by reducing customer dissatisfaction incidents and arranging mystery shopping.
  7. Ensure that In-charges of shopping centre/s are purchasing the stock as per the demand to avoid over or under stocking.
  8. Look after the procurement related administrative matters when required (In absence of In-charge).
  9. Ensure the smooth operations of Warehouse by getting weekly stock in and out report from In-Charges and also ensure weekly warehouse audit of shopping centre/s.
  10. Look after the warehouse administrative matters when required (In absence of In-Charge).
  11. Conduct quarterly meetings for setting/reviewing/revising performance standards and KRAs of the direct reportees. As well as conduct time to time performance monitoring sessions (as & when required).
  12. Perform Performance evaluations of immediate staff on a quarterly basis.
  13. Ensure Proper Training & Development of the Staff wherever & whenever needed through performance appraisal and training need analysis.
  14. Developing staff through formal and informal coaching, counseling & mentoring sessions.
  15. Succession Planning: Develop a successor of himself as well as successors of his immediate subordinates.
  16. Do second (technical) selection interview of staff needed to be hired in retail operations division.
  17. Assist top management in planning new outlets, finding new places, new place sales forecasting and be responsible for the inauguration day activities of new bakeries and centre/s.
